Add a knowledge source

Agents in Creatio AI Studio use knowledge sources to retrieve relevant information when responding to user requests. You can upload files to a knowledge source, index it, and then attach it to a prompt agent so the agent can reference its content.

Create a knowledge source​

  1. Go to the Knowledge section in the navigation panel.

  2. Click New.

  3. Enter a name for the source in the Create Knowledge Source dialog.

  4. Enter a description. The field is required. Describe what the source contains and when agents should use it. The more specific the description, the more accurately agents can retrieve relevant information.

  5. Select the source type in the Source type field.

    What to provide

    File

    One or more uploaded files. Click Select files or drag them onto the upload area. Supported formats: *.pdf, *.txt, *.md, *.json, *.docx, *.pptx.

    Webpage

    One or more public URLs, entered one per line in the URLs field. Each must start with http:// or https://. Pages behind a login cannot be crawled.

    Creatio data

    A Creatio CRM section to index, for example, Cases or Products. The environment needs a Creatio CRM connection before this type can be configured. The type is enabled per organization and appears only where it has been turned on. Learn more: Connect a CRM per environment.

  6. Set the Scope field. Select "Personal" to keep the source private to your account, or select "Enterprise" to share it across the organization.

  7. Click Create source.

As a result, Creatio AI Studio creates the knowledge source and starts collecting its content straight away. The status reads "Indexing" while Creatio AI Studio collects and processes the content, then "Ready," at which point agents can use it. A source that ends on "Failed" cannot answer anything, so check the status before you attach it.

Upload additional files​

After creating a source, you can add more files at any time.

  1. Open the knowledge source from the Knowledge list.
  2. Click Upload files.
  3. Select the files to add.

As a result, Creatio AI Studio adds the files to the Files tab and starts processing them on its own. The status moves to "Indexing," and there is nothing to reindex by hand. On the Files tab, the Extraction column of each new file reads "Pending," then "Indexing," and "Ready" when the file is processed. A file that reads "Failed" adds nothing to the source.

Refresh a webpage source​

Re-fetch a webpage source to pick up changes on its pages. The source keeps serving its current content while it refreshes. To add pages to the source, click Add URLs on the source page, enter one URL per line in the Add URLs dialog, and click Add URLs.

  1. Open the knowledge source from the Knowledge list.
  2. Go to the URLs tab.
  3. Click Re-fetch → Re-fetch all. The action is unavailable while the source is fetching or indexing.
  4. Click Re-fetch all in the "Re-fetch all URLs" dialog.

As a result, Creatio AI Studio reports "Re-fetching all URLs" and fetches every page of the source again. A page whose text has not changed is not indexed again, and the Web Content Fetch Sessions table on the Web fetch tab counts it under Skipped. Each page is replaced only after its new version is fetched, so a page that cannot be fetched keeps serving its current content.

On the URLs tab, Last extracted shows when the served version of a page was extracted, and Last attempt shows when the page was last fetched.

Configure retrieval settings​

This step is optional. Keyword boosting gives extra weight to chunks that contain keywords from the query, which helps where exact terminology matters. It is off out of the box.

  1. Open the knowledge source from the Knowledge list.
  2. Go to the Settings tab.
  3. Turn on Keyword boosting to prioritize content chunks that contain keywords from the agent's query. This setting applies to every agent attached to this source.

As a result, Creatio AI Studio saves the setting and applies it to the next query. It changes how results are ranked when an agent searches, so the source does not need reindexing.

Start indexing​

Creatio AI Studio indexes a source on its own when you create it and when you add files to it. Run indexing by hand to rebuild a source that failed, or after you change content the platform cannot see for itself.

  1. Open the knowledge source from the Knowledge list.
  2. Click Start indexing, or Re-index on a source that was indexed before. Creatio AI Studio reports "Indexing started" or "Re-indexing started."

As a result, Creatio AI Studio processes the content and the status changes to "Ready" when it finishes. Part of the indexing capacity is kept for a re-index that you start yourself, so large indexing jobs do not hold it up. When no capacity is free, indexing waits and starts on its own. The Indexing tab lists every session with its status and its start and completion times.

Attach a knowledge source to an agent​

Knowledge sources are attached at the prompt agent level.

  1. Go to the Agents section in the navigation panel.
  2. Open the prompt agent you want to configure.
  3. Open the Knowledge tab on the Build tab group.
  4. Select the source in the Select a knowledge source... list. It attaches one source at a time, so repeat the step for each source the agent needs.
  5. Turn off Citations if you do not want the agent to include source references in its responses. Out of the box, citations are turned on.
  6. Click Publish to publish the agent.

As a result, the agent can now query the knowledge source when responding to user requests. The agent includes references to the source content in its answers unless you turned off Citations.
