Manage required documents
Collect and verify every document you need to approve a request: identity documents, required documents, and documents for signing. Creatio builds each document package automatically from the selected product and its conditions, and blocks the request until you provide all mandatory documents.
Work with documents the same way everywhere. Only the set of document expanded lists differs. An application contains all expanded lists:
- Identity documents
- Required documents
- Documents for signing
An application form contains Identity documents. An opportunity contains Required documents and Documents for signing.
Creatio collects identity documents at the "Customer details" stage, generates required documents at the "Product details" stage, and generates documents for signing at the "Agreement & Signature" stage. Learn more: Required document overview.
To collect identity documents, use the application form.
Work with required documents
On an opportunity, Creatio generates the required document list when you select a product on the opportunity. Upload and reuse work the same way as on the application.
-
Go to the Applications section.
-
Open the application at the "Product details" stage.
-
Select the product in the Product field.
-
Fill out the application parameters that Creatio generates for the product.
-
Go to the Required documents expanded list → Generate.
Creatio checks the required documents configured for the product and adds the documents whose conditions are met to the Required documents list. If a document class is reusable and the customer already has an "Active" document of that class, Creatio links the existing document and sets the status to "Active." Otherwise, the document appears with the "Not uploaded" status.
-
Select a document with the "Not uploaded" status. Creatio shows the files linked to the document in the Attachments area on the right.
-
Upload the file in the Attachments area.
Creatio changes the document status to "Active." Repeat steps 6–7 for every document with the "Not uploaded" status.
As a result, the application will be able to move to the next stage only after every required document has the "Active" status.
Create a required document manually
Customers sometimes provide documents that are not part of the predefined package. You can add such a document to the list manually.
Creatio offers only document classes that are not yet added to the current application, application form, or opportunity. The class must either match the customer's client type (individual or legal entity) or have no client type specified. The class must also have one of the following combinations:
- Type = "Customer document" and Group other than "Identification" or "Legal entity identification."
- Type = "Compliance document" and Group = "Consumer consent."
- Go to the Required documents expanded list →
. This opens a window. - Fill out the Document class field.
- Click Save.
As a result, Creatio will add the document to the list with the Required checkbox clear. Validation rules do not apply to this document. If you do not upload the file before submission, Creatio deletes the draft record after submission.
Work with documents for signing
On an opportunity, Creatio does not generate documents for signing. The list shows the signing documents generated in the linked application.
-
Go to the Applications section.
-
Open the application at the "Agreement & Signature" stage.
Creatio generates all documents for signing when the application reaches this stage. These documents are usually not reusable, but you can configure reuse if needed.
-
Select a document with the "Not uploaded" status in the Documents for signing expanded list.
Creatio shows the files linked to the document in the Attachments area on the right.
-
Upload the file in the Attachments area.
Creatio changes the status to "Active." Repeat steps 3–4 for every document with the "Not uploaded" status.
As a result, the application will be able to move forward only after every document with the Required checkbox selected has the "Active" status.
