CRM automation in the Creatio.ai add-in for Outlook

Sales and customer service reps spend a lot of time figuring out who emailed them, what Creatio already knows about that person, and how to update that CRM context with the information from the email. The CRM automation features in the Creatio.ai add-in for Outlook do all of this from the reading pane: they resolve an email participant to a Creatio contact and account, show you the CRM context around them, and let you file the email and create records without switching to Creatio. These features work automatically as you read or write an email, resolving the participant, showing CRM context, and offering actions, without any chat or prompts involved.

This functionality requires Creatio version 8.3.2 or later. It is currently available to a limited number of clients, with general availability planned in the near future.

Resolve the sender and see CRM context

Open an email and the add-in works out who it is about, then shows you what Creatio already knows about them: their contact card, their account, and their leads, opportunities, and cases . If the sender is a colleague, the add-in ignores them and works out who the email is about from the other participants instead. If the sender is not a Creatio contact, the add-in looks for their company by matching the domain in their email address to an account. Senders on public email domains are matched to a contact as normal, but their domain is never used to find an account. This means you get the full picture of a customer or prospect the moment you open their message, without searching for them yourself.

Everyone else on the email, the people in To and Cc, is listed too, each already matched to a contact or flagged as new. Learn more: See the CRM context of an email.

File the email to Creatio

Once the add-in knows who an email belongs to, you can save it to Creatio in one click and link it to the sender's contact and account. For an email you are writing, the add-in offers the same choice as a checkbox, so the message is filed automatically the moment you send it. Either way, you never leave Outlook to get an email into the CRM, and you can see straight from your inbox which messages are already filed. Link the email to a related record

A filed email can also carry a specific lead, opportunity, project, or case, not just the sender's contact and account. This lets you connect a message directly to the deal or case it is about, so anyone who opens that record later in Creatio sees the email as part of its history. Add new contacts from the email

Not everyone on an email is already in Creatio. The add-in lets you add the sender or any participant as a contact right from the panel, so your CRM data grows as you work through your inbox instead of falling behind it. Learn more: Add people from the email as contacts.

Create records from the email

When an email turns into a real opportunity, you can create a lead, opportunity, case, or account straight from the panel. The add-in pre-fills the form from the message, and the email is filed as part of the same step, so you get a new CRM record and a documented conversation in one move. Find records across the CRM

The add-in searches Creatio automatically as soon as you open an email, around whichever participant it resolved the panel to, so results are often waiting for you before you ask. If you search yourself instead, the results are not limited that way: you can search across contacts, accounts, leads, opportunities, and cases at once, including colleagues, and open any result as a card in the panel to read it or file the current email to it.
