External form submission capture

Use external submission capture when a form already lives on one of your websites — built by any tool, at any point in the past — and you just want its submissions to reach Creatio, without touching the form itself.

You add one tracking script to each webpage that contains a form, and the script starts sending submissions of the forms it can safely capture on those pages to Creatio.

What forms Creatio can capture​

Creatio only captures a static HTML form: a standard <form> element that is present on the page from the moment it loads, contains at least one field that Creatio can capture, and submits through a standard submit action. If the form uses browser validation, the entered values must pass it. A form that has the novalidate attribute is captured without this check.

Creatio does not capture a form if it is inside an iframe, added to the page after the page loads (as in most single-page applications), or submitted through custom JavaScript rather than a standard submit action.

Creatio skips sensitive fields one by one and captures the rest of the form. Skipped fields include hidden fields, password fields, file upload fields, and fields whose name or label indicates card, payment, CVV, CVC, IBAN, or social security number data. The values of these fields are never sent to Creatio.

How a submission becomes a record​

When a visitor submits an eligible form, Creatio captures the values of its text, email, phone, number, date, checkbox, radio button, search, and URL fields, as well as text areas and dropdown lists. Together with the field values, Creatio receives the full URL of the page where the visitor submitted the form, including its query string (for example, UTM parameters), and the referrer URL if the browser provides one.

Creatio maps the submitted fields to standard contact fields automatically, by matching field names: First name, Last name, Middle name, Email, Full name, and Phone number. The match ignores letter case, spaces, and punctuation, and recognizes common synonyms, for example, "work email," "given name," "surname," "telephone," or "mobile." Fields whose names do not match are sent to Creatio under their original names.

Creatio then applies the same contact identification logic used across the platform: it looks for an existing contact by Full name + Email + Phone, then Email + Phone, then Full name + Phone, then Email alone, and updates that contact if found, or creates a new one if not. A captured submission is stored even when no contact match is found.

Monitoring captured submissions​

A captured submission appears in the Submissions section, reviewable the same way as submissions from any other capture method.

A captured submission can also trigger existing business processes or marketing campaigns, the same way any other submission does.

Set up external form submission capture​

Before you start, make sure the "Webhook URL" (WebhookURL code) and "MarketingCdnUrl" (MarketingCdnUrl code) system settings are filled out. If either setting is empty, the External form capture script page displays an error message instead of the script.

  1. Open the Submissions section.
  2. Click Actions → Get external form capture script. This opens the External form capture script page that contains the tracking script for your environment.
  3. Click Copy script.
  4. Add the script to every webpage that contains a form you want to capture submissions from.

As a result, Creatio starts capturing submissions from eligible forms on the pages that carry the script.
