Attention!
To receive and send emails in bpm'online, you need to set up the email provider connection parameters, register a new email account and set up synchronization with the mailbox. If your company uses the email provider that is integrated by the IMAP/SMTP protocol, for example, GMail, Yahoo, Yandex, you will need to set up the integration with the mailbox by the IMAP/SMTP protocol. If you use the MS Outlook email service, set up the integration with MS Exchange.
The email page consists of the field group containing general data, and several tabs.
General information about activity
Type |
Type of the activity. It is selected when creating a record. The field is not displayed on the activity page, but can be viewed in the list. The “Email” value is automatically selected for all emails. |
Category |
Category of the activity. The field is displayed in the list and on the view page, but is not available on the edit page. |
Subject |
Subject of the email. After the email is sent, the field becomes non-editable. |
From |
Email account of the sender. You can select the account from the list of mail accounts available for the current user. The field is automatically filled in with the email address that is specified by default for the current user. For the message to be sent, the field must be filled in. |
To: |
Addresses of recipients. You can enter the email address manually or use the |

Email direction |
Information about the email direction. It can be incoming or outgoing. The value is set automatically. The field is not displayed on the email page, but is available in the list. |
The tab contains the area that is used for entering the formatted text of the message. After the email is sent, its text becomes non-editable.

Owner |
Name of the employee who is responsible for sending the email. |
Author |
User who initiates sending the email. |
Remind |
Used for reminding the owner and/or author about the activity at the specified time. Information about new reminders will be displayed on the owner's and/or author's notification panel. |

Priority of the message, for example, “High” or “Medium”. |
Calendar |
Checkbox determines whether to display the email in the calendar. |
Email status |
Confirmation of the emails delivery status. |

Start |
Date and time when working with the email should start and finish. By default, the [Due] field value is 30 later than the [Start] field value. |

Account |
Company or person who is connected to the email. If you select a contact, then the [Account] field will be automatically filled in with the company specified on the contact page. |
Contact |

Opportunity that entails sending the email. If you select an opportunity, then the [Contact] and [Account] fields will be automatically filled in with the data from the fields of the selected opportunity. |

The tab contains all files that have been attached to emails.
Files
Use this detail to attach files to the letter, for example, images or text documents.
The detail contains the following views:
– the tile view. In this view, the files and links added to the detail are displayed as icons. Icon appearance varies depending on the file extension and can be set up in the [File extension] lookup. For the files whose types are undefined in the lookup, a default icon is used.
– the list view. The files added to the detail are displayed as a list of records.
To add a file to the detail, click the [Add file] button and select the needed file in the opened window, or simply drag the file and drop it into the detail.
The [Feed] tab displays the messages from the [Feed] section that are connected to the current email.
When you select the email record in the list, additional buttons are displayed. The buttons will vary depending on the email type and status.
[Send] – sends the selected email from the account specified in the [From:] field to the addresses specified in the [To:], [Cc:] and [Bcc:] fields. Once an email is sent, the activity status is changed to “Completed”, and most fields become non-editable. The button is displayed for emails that have not been sent yet.
Note
You can also send an email by using the [Send] action in the actions menu of the email page.
[Forward] – forwards the email message. Click this button to open a new email page that will have the subject and text of the initial message. The button is displayed for incoming emails, as well as for outgoing emails that have been sent.
[Reply] – respond to the email message. Click this button to open a new email page that will have the subject and text of the initial message. The [To:] field will contain the email address of the sender of the initial message. The button is displayed for incoming messages.
[Reply all] – send a response to all recipients of the initial email. Click this button to open a new email page that will have the subject and text of the initial message. The [To:] field will contain the owner's address from the initial message, and the [Cc:] and [Bcc:] fields will be filled in with the email addresses of recipients of the copy and the blind copy respectively. The button is displayed for incoming messages.
